Privacy Policy - Website

This policy explains how Stillpoint Counselling collects, uses and protects information about people who visit this website. It covers the website only. If you're already a client, the handling of your session notes, assessment information and appointment records is covered separately by our Privacy Notice, given to you at the start of our work together, and our Terms & Conditions those documents take priority over this one for anything related to your therapy.

 

1. Who is responsible for your data

Stillpoint Counselling is the data controller responsible for the personal information described in this policy.

2. What information this website collects

Depending on how you use the site, I may collect:

  • Contact form submissions, name, email address, phone number, and anything you write in your message.

  • Live chat messages, anything you send through the chat box, including your name and contact details if you provide them.

  • Browsing and analytics data, automatically collected information such as pages visited, time on site, device/browser type, and general location, gathered through Wix's built-in analytics and Google Analytics.

  • Cookies - small files stored on your device (see Section 5).

I do not knowingly collect any special category data (such as health information) through the website itself, though if you choose to share details about your circumstances or wellbeing in a contact form or chat message, that information will be treated with the same confidentiality and care as clinical information, and handled under the lawful bases in Section 3 below.

 

3. Why I collect it, and the legal basis

  • Responding to your enquiry - covers contact form and chat messages. Legal basis: legitimate interests (to respond to you) / steps prior to a contract.

  • Arranging or discussing appointments - covers contact details you provide. Legal basis: steps prior to, or performance of, a contract.

  • Understanding how the site is used, and improving it - covers analytics and cookies. Legal basis: consent (for non-essential cookies/analytics).

  • Meeting legal or professional obligations - covers any records I'm required to keep. Legal basis: legal obligation.

Where anything you share suggests a risk of serious harm to you or someone else, I may need to act on that information — this mirrors the safeguarding exception described in my client confidentiality policy and in the site's FAQs.

4. Who I share it with

I don't sell or rent your information. It may be shared with:

  • Wix.com - the platform that hosts this website and processes contact form/chat submissions.

  • Google Analytics (or similar analytics provider) - for anonymised/aggregated site usage statistics.

  • Professional bodies, insurers, or legal authorities, only where I'm required to disclose information by law or professional obligation.

These providers may process data outside the UK/EEA; where they do, they're required to have appropriate safeguards in place (such as standard contractual clauses).


5. Cookies

This site uses cookies, some are essential for the site to function (set automatically by Wix), and some are optional, used for analytics (such as Google Analytics) to help understand how visitors use the site.

You can control or delete cookies through your browser settings at any time. If the site displays a cookie consent banner, you can also manage your preferences there. Turning off non-essential cookies won't affect your ability to browse the site or get in touch.

6. How long I keep it
Enquiries that don't become clients: kept for 12 months, then deleted.
Enquiries that become clients: contact details are moved into your client record on WriteUpp, our secure practice management platform, and from that point are governed by our Privacy Notice, kept for 7 years after your last contact with us (or, if you were under 18 at the time of therapy, until your 25th birthday or 8 years after last contact, whichever is later).
Analytics data: retained in line with the relevant provider's default retention settings (e.g. Google Analytics' standard retention period).


 

7. Your rights

Under UK GDPR, you have the right to:

  • ask what information I hold about you, and get a copy of it;

  • ask me to correct anything inaccurate or incomplete;

  • ask me to delete your information, where there's no legal or professional reason for me to keep it;

  • object to, or ask me to restrict, certain processing;

  • withdraw consent at any time (for anything based on consent, like optional cookies);

  • complain to the Information Commissioner's Office (ICO) if you're unhappy with how your data has been handled, see ico.org.uk


​To exercise any of these rights, please write to us at info@stillpointne.co.uk. We will respond within one calendar month, in line with our legal obligations.

If your concern is about how we've handled your personal information, please contact us first at complaints@stillpointne.co.uk, or refer to our Complaints Policy,  you're also entitled to raise it directly with the ICO at any time.

8. Keeping your information safe

I take reasonable steps to protect any information collected through the website, including relying on Wix's built-in security and access controls, and only sharing information with the providers listed above where necessary.


9. Children

This website isn't aimed at children, and I don't knowingly collect information from anyone under 16 through it.


10. Changes to this policy

I may update this policy from time to time, for example if the website's tools or providers change. The date at the top shows when it was last updated.
